Introduction

VectorFunction AI ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services, including our website (www.vectorfunction.com) and the AI assistants we provide to our clients ("Tenants").

Information We Collect

We collect information in two main ways:

1. Information You Provide to Us

  • Demo Requests & Contact Forms: When you request a demo or contact us, we collect your name, email address, company name, website URL, and any other information you provide.
  • Tenant Information: When our clients (Tenants) sign up for our service, we collect business contact information, billing details, and configuration data for their AI assistant (e.g., website domain to crawl, branding colors).

2. Information We Collect Automatically

  • When you visit our website: We use cookies and similar tracking technologies to collect information about your device and browsing activity, such as IP address, browser type, and pages visited.
  • When you interact with a client's AI assistant: We process the questions you ask and the conversation history to provide the service. This data is processed on behalf of our Tenant. We log metadata such as timestamps, and token usage for billing and analytics. The Tenant is the data controller for the conversation data of their specific AI assistant.

How We Use Your Information

We use the information we collect for various purposes, including:

  • To provide, operate, and maintain our services.
  • To process transactions and manage Tenant accounts.
  • To respond to your comments, questions, and requests, and provide customer service.
  • To monitor and analyze trends, usage, and activities in connection with our services.
  • To send you technical notices, updates, security alerts, and support messages.
  • For our client (the Tenant), to analyze the performance of their AI assistant, identify knowledge gaps, and track lead generation.

Data Sharing and Disclosure

We do not sell your personal information. We may share information as follows:

  • With Service Providers: We use third-party service providers like OpenAI (for language models) and cloud hosting providers (e.g., Railway, AWS). We have data processing agreements in place with these providers. All our providers are configured to use EU data centers where possible.
  • With our Tenants: All data collected through a specific AI assistant (including conversation logs and leads) is accessible to the respective Tenant who owns that assistant.
  • For Legal Reasons: We may disclose your information if required by law or in response to valid requests by public authorities.

Data Retention

We retain personal data for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable laws. Tenants can configure data retention policies for their conversation logs.

Your Data Protection Rights (GDPR)

If you are a resident of the European Economic Area (EEA), you have certain data protection rights:

  • The right to access, update, or delete the information we have on you.
  • The right of rectification.
  • The right to object.
  • The right of restriction.
  • The right to data portability.
  • The right to withdraw consent.

If you wish to exercise any of these rights, please contact us. If you have a request concerning data collected by a specific AI assistant, we will forward your request to the relevant Tenant (the data controller).
